SUBJECT: RENEWAL OF ANNUAL CONTRACTS FOR RFB 03-25 FOR HOT MIX
ASPHALT
RECOMMENDATION: City Council to consider approval of the renewal of an annual contract for
hot mix asphalt with Austin Asphalt and Reynolds Asphalt for the Public
Works Department.
FUNDING SOURCE: Funds are available in the Permanent Capital Maintenance Fund
(Transportation Infrastructure) for an annual estimated amount of
$500,000.
BACKGROUND: The purpose of this contract is to establish fixed, indefinite quantity,
annual pricing for hot mix asphalt. The Public Works Department will use
this material for street repairs and road construction projects. Material will
be picked -up at the plant or delivered to jobsite locations on an as -needed
basis.
Bids were taken in accordance with Local Government Code Chapter 252,
Subchapter B, Section 252.021 (a) and Section 252.041 (a). If approved,
this will be the first renewal option with three one-year renewal options
available.
Based on the evaluation of the bid by the Public Works Department and
Purchasing, it was determined that a non-exclusive award be made to all
responsible and responsive bids meeting specifications to ensure
availability of materials without interruption of road projects.
Staff recommends approval.
