HomeMy WebLinkAboutItem 08 - Audiovisual SystemMEMO TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL FROM: BRUNO RUMBELOW, CITY MANAGER MEETING DATE: JANUARY 6, 2026 SUBJECT: PURCHASE OF AUDIOVISUAL EQUIPMENT UPGRADES FOR CITY HALL RECOMMENDATION: City Council to consider approval for the purchase for audiovisual upgrades for City Hall from Digital Resources, Inc. for the IT Department. FUNDING SOURCE: Funds are available in the Special Revenue Fund (PEG Fees) for an amount not to exceed $155,913. BACKGROUND: This purchase is intended to replace the audiovisual equipment in both the City Hall Council Chambers and the Planning and Zoning Conference Room. The current equipment, which is nearly eight years old, has reached the end of its useful life and requires replacement. The scope of this upgrade includes replacing the 18 microphones and monitors on the Council dais, as well as all AV components housed in the equipment rack in Information Technology's control room that manages audio and visual functions during council meetings. This purchase will be made in accordance with an existing interlocal agreement with the Region VIII Education Service Center known as The Interlocal Purchasing System (TIPS) in Texas as allowed by Texas Local Government Code, Chapter 271 and Texas Government Code, Chapter 791. Bids were taken by the cooperative, and contracts were awarded to Digital Resources, Inc. The IT and Purchasing staff reviewed the contract for departmental specification compliance and pricing and determined that the contract would provide the best product and pricing for meeting the needs of the City. Fees from the Public, Educational, and Governmental (PEG) program will be used for this expense. Staff recommends approval. AP/LW
