SUBJECT: PURCHASE RENEWAL OF MICROSOFT SOFTWARE LICENSES
RECOMMENDATION: City Council to consider renewal of a contract for Microsoft software
licenses from SHI Government Solutions, Inc. for the City's Information
Technology department and City staff.
FUNDING SOURCE: Funds are available in the General Fund (IT Dept.) for an amount not to
exceed $372,197.
BACKGROUND: This request seeks approval to issue the third -year payment under our
three-year Microsoft 365 Enterprise Licensing Agreement. The agreement
provides licensing for the Microsoft Office suite, the Windows Virtual
Desktop platform, the Microsoft Outlook email system, and SharePoint for
use by the City of Grapevine.
Purchases will be made in accordance with an existing interlocal
agreement with the State of Texas Department of Information Resources
(DIR) as allowed by Texas Local Government Code, Chapter 271 and
Texas Government Code, Chapter 791.
Bids were taken by the cooperative, and a contract was awarded to SHI
Government Solutions, Inc. The Purchasing and IT staff reviewed the
contract for departmental specification compliance and pricing and
determined that the contract would provide the best service and pricing for
meeting the needs of the City.
Staff recommends approval.
