The Grapevine Heritage Foundation Board of Directors met at 4:00 p.m. on Wednesday,
September 19, 2012 in the Grapevine Convention & Visitors Bureau, 2nd Floor Boardroom,
636 South Main Street, Grapevine, Texas.

I. CALL TO ORDER
The meeting was called to order by Chairman Curtis Ratliff at 4:00 p.m
II. CITIZEN COMMENTS
Former member, Nathan Loftice attended the meeting to thank the Board of Directors for his
time spent with them. He explained with his work there was a great amount of travel and
with two young children, his schedule no longer allowed him to be an active participant on
the board. Chairman Curtis Ratliff thanked Nathan for his service given as a member of the
Board of Directors and asked for his continued help for the Foundation as a member.
III. APPROVAL OF THE JULY 18, 2012 MINUTES
Melva Stanfield moved to approve the July 18, 2012 minutes as written.
Jacob Miles seconded the motion, which prevailed in the following vote of:
Ayes: All (Ratliff, Stanfield, Lawlis, Lease, Franks, Miles, Perkins, Vaughn and Wright)
Nays: None (Board Members Stinson and O'Dell were not present for the vote)

IV. OLD BUSINESS
P.W. McCallum gave the update on the Nash Farm neighborhood's lawsuit mediation,
saying all was much the same; September 28 was the target date for the next point of
contact. As of now, much remains the same Under Rule 11. There is a letter to move the
Soil Conservation Office to be 15 feet east of the original staked, planned area; this location
would be unobtrusive to the Pole Barn. The Estill Cottage could not be moved to the Farm.
Don Vaughn asked if the fencing was still on the table and Mike Lease asked if the entrance
off of Homestead was still in the plans. P.W. answered yes to the fence and said the four
gates planned would be used as entrances, but the planned service entrance gate had been
eliminated. He continued, saying the neighborhood group did eliminate several type of
animals as allowing no swine or goats and only one rooster; they were okay with the other
animals and visiting exhibits of animals.
Vice-Chairman Melva Stanfield reported on the Nash Farm Committee's recommendation to
enclose the perimeter of the Farmhouse to divert water and to reduce the wind and cold air
blowing under the Farmhouse. Staff recommended using natural fieldstone dry stacked. A
hand dug trench would hold a cement footing for the foundation enclosure, similar to a
French drain; as rainwater was shed from the roof it would hit a bed of sand covered in river
rock and direct the water away from the house. Sue Franks asked the cost of this; she was
answered it would be $3,000 for the stone and the labor.
Sue Franks put forth the motion to enclose the foundation of the Farmhouse with stacked
fieldstone and to install the sand and river rock drain system to direct water away from the
house. Rick Lawlis seconded the motion which prevailed in a vote of:
Ayes: All (Ratliff, Stanfield, Lawlis, Lease, Franks, Miles, Perkins, Vaughn and Wright)
Nays: None (Board Members Stinson and O'Dell were not present for the vote.)
Staff reported on Nash Farm activities announcing the September 1, Labor Day Campfire
Cooking had been a wonderful event with a group of 12 Boys Scouts and four adults. This
had been a great time for Nash Farm to reach out to involve Boy Scouts and Girl Scouts.
The Italian CarFest on September 8 from 10 a.m. to 3 p.m. had included 80 automobiles
and 20 two-wheelers. It was recommended for next year, the Italian CarFest group should
man the barricades themselves and the Farmhouse should have docents to tell the Nash
Farm story.
Pat Stinson, Chairman of the Membership Development Committee, arrived to give her
update. She reported membership renewals were still coming in steadily; Mrs. Kidd had
renewed at the Preservationist level again. Pat is researching to contact Corporate
Members who opted out in the 2007-2008 campaign. She also recommended focusing on
bringing the inscribed brick sales back to the Farm; P.W agreed saying all Nash Farm
committee members should keep brick order forms on hand.
Pat reported on the GrapeFest's Grapevine Heritage Foundation table for membership in
the Festival Store. She had brought a decorated milk can for festival goers to sign up to win
a Nash Farm tee shirt. 76 new names were acquired with permission to contact their email
with notice of the Foundation and Grapevine events. Mike Lease complimented Jacob
Miles' salesmanship while manning the membership table. Vice-Chairman Stanfield
wrapped up the reports announcing year-to-date Nash Farm has had 8,236 visitors.

V. NEW BUSINESS
Farm Manager Jim Lauderdale reported 5,000 Fall Round-Up! rack cards had been printed
with 2,400 for circulation and the remaining 1,600 for members to hand out. He passed
around sign-up sheets for the board to volunteer as Fall Round-Up! Leads! He announced
the last Butterfly Flutterby butterfly release would be moved to Nash Farm for the final
release at 1:30 p.m. Leads! in place would be Don Vaughn in charge of merchandise, Pat
Stinson at the Membership table, Linda Ratliff in charge of scarecrows and making corn
husk dolls. Chairman Ratliff called for any questions or comments; he encouraged all board
members to sign-up for the remaining Lead! positions.
VI. DISTRIBUTION OF LIAISON REPORTS
Grapevine Historical Society Liaison Report-Carolyn Ernst, President
Carolyn Ernst reported August was a good month for visitors with the kids out of school.
The museum recorded 2,153 guests, many from faraway places such as Denmark, France,
Australia and England. Carolyn announced their September 25 meeting would have Edna
Hemphill, the last Station Master of the depot, as their speaker.
She reminded all of the Historical Society's upcoming fundraiser, the Sock Hop Celebration
will be on September 28 featuring the DFW All-Stars performing the favorite tunes of the
1950's. They have added appetizers and a chocolate fountain while dropping the charge of
admission to $50, due to a sponsorship.
The October 22 program will feature Barbara Johnson and Maybelle Woods discussing the
Torian Cabin. They will speak on the maintenance of Grapevine's Main Street log cabin and
have a panel of those who have contributed in the past and present to preserve the cabin.
Carolyn complimented Tommy Simmons on doing a fabulous job with their programming.
Grapevine Convention &Visitors Bureau Liaison Report-Paul W. McCallum
P.W. McCallum reported on GrapeFest 2012 beginning with the festival's kick-off with the
Italian CarFest on September 08; followed by the September 10 Golf Classic with 72 golfers
to benefit the Grapevine Colleyville Independent School District's "Connect Program"for
children of high school age in need. This summer was the beginning of the program which is
also supported by GRACE and the Chamber's Women's Division. On September 13 Peter
(Drakos) Magic, nationally and internationally known for beating carnival game odds, visited
the festival's midway for two hours of winning the largest grand prizes, all to be donated to
the charity, The Family Place. The Jeff Probst reality show was filming Peter on the
GrapeFest midway for an upcoming episode, regarding his skill and his charity, to air in the
next few weeks featuring Grapevine's GrapeFest. Mary and Tommy Talley participated in
sponsoring this amazing feature.
78 International Delegates participated in GrapeFest 2012 with a wind ensemble and a piper
playing on several GrapeFest stages, the Grapevine High School and the Colleyville
Heritage High School. At Council, Mayor William D. Tate presented the Gallacher Cup
Trophy to the GCISD High School Golf Team for winning the tournament against the West
Lothian Scotland Team and retrieving the cup.

Grape Stomp continues to get better and better; the Senior Stomp's youngest contestant
was in his late 70's. The Mayoral Stomp involved 16 teams competing. West Lothian's team
stomped out 30.75 ounces with a fellow who wore size 14 shoes and the all time record was
set by a Cedar Hill resident yielding 46.25 ounces.
The People's Choice Wine Tasting had 146 wines and a tremendous amount of medals
awarded. The Vintner's Auction Classic was a huge success with the 1.3 carat diamond still
not having been turned in as of today.
Saturday was a great day, probably coming in at Number 3 in GrapeFest history with totals
of 262,322 attendees. The weather appearing as a hostile environment turned into a festival
event; all merchants were able to continue to conduct business through it all.
The 2012 GrapeFest was served by a 91 person Steering Committee and approximately
1,800 volunteers. The 2012 Chairs, Mark and Sonia Terpening, brought a revved up
excitement for the festival to the committee, volunteers and the community. Melva Stanfield
in the Wine Pavilion had volunteers from around the Metroplex; Melva complimented the
Festival Store's new merchandise and asked for larger sizes in ladies shirts.
The Board of Directors applauded Mr. McCallum's GrapeFest 2012 report.
