Boardroom of the Grapevine Convention & Visitors Bureau, 636 South Main Street, Grapevine, Texas. If

The Grapevine Heritage Foundation Advisory Board met at 5:00 p.m. on Wednesday,
July 19, 2017 in the Grapevine Convention & Visitors Bureau 2nd Floor Boardroom,
636 South Main Street, Grapevine, Texas 76051 for their regular scheduled monthly
meeting.

I. CALL TO ORDER
Chairman Curtis Ratliff called the meeting to order at 5 p.m.
II. CITIZEN COMMENTS
There were no citizen comments.
Any person who is not scheduled on the agenda may address the Historic Preservation
Commission under Citizen Comments by completing a Citizen Appearance Request form. In
accordance with the Texas Open Meetings Act, the Commission is restricted in discussing or
taking action during Citizen Comments.

III. APPROVAL OF MINUTES
Balla Wright made the motion to accept the minutes as written from the June 21, 2017
meeting. Melva Stanfield seconded the motion, which prevailed in the following vote:
Ayes: All (Ratliff, Stanfield, Wright, Franks, Hummer, Jensen and Perkins
Nays: None
Absent: (Stinson)
OLD BUSINESS
Janet Perkins reported the June 1st membership renewals had been sent; currently
there are 204 active members $1,900 in donations for the month of June.
Vice Chairman Melva Stanfield gave the Nash Farm report of 11 tours totaling 510
people, the Victorian Paper Craft Workshop was attended by seven students; and the
Ice Cream Social was a great success with 325 guests enjoying the summer evening
with cranked ice cream.
Farm Manager Cody Jolliff reported they were working on new games and activities for
the First Friday programs; and he is working with the committee for the Grapevine
Heritage Foundation's 2018 calendar.
Treasurer Balla Wright reported collecting $4,950 and "still going" in sponsorships for
the Fall Round-Up! event in October. Her goal was $5,000 and she has since picked up
two more sponsorships at the Farmer level and two at the Friends of the Farm level.
Paula Newman reported the Palace Arts Center's stainless steel countertop was being
cleaned; and they had been able to repair the air conditioning compressor without
having to replace the unit. Fantasm Odyssey of Dreams will be performed at the end of
the month, and an upcoming Rocky Gribble Opry Reunion, Ricki Derek, Gentri: The
Gentlemen Trio in mid-December and Forever Young, both currently playing Branson
venues.
Council Liaison Mike Lease asked about the roof work with Tremco, saying he was
concerned with the area around the roof top air conditioning units.
Sue Franks reminded all the Speakers Bureau would promote the Foundation and
membership at Rotary this month; Janet Perkins will bring membership applications and
2017 GHF calendars, plus sponsorship opportunities sheet.
NEW BUSINESS
Staff presented the proposed 2017-18 budget. Chairman Ratliff said the 2017-18
proposed numbers looked very similar to this year's. Farm Manager Cody Jolliff noted
there was a $1,000 increase for labor to cover having a police officer at the intersection
for events such as the Barn Dance and the Farm to Fork supper. The apparatus and
tools line was discussed as a purchase for a wagon, a two to three year project, and

something to pull the wagon. The Farm will have a decrease in building maintenance
with projects completed in the last year. Farm improvements were now listed as
professional services. The education budget was increased to keep up with the
increasing attendance.
The Palace Arts Center budget remained the same with discussion of the changes in
house groups during the last year.
Janet Perkins moved to approve the proposed 2017-18 budget as presented; Balla
Wright seconded the motion which prevailed in the following vote:
Ayes: All (Ratliff, Stanfield, Wright, Franks, Hummer, Jensen and Perkins
Nays: None

Cody Jolliff reported staff member Kimberly Prack had attended the upstate New York
American Living History Farm & Agriculture Museums (ALHFAM) conference; reminding
all, the next ALHFAM conference will be closer in Nebraska at the Stuhr Museum on
September 20 — 24, 2017; next year in Tahlequah during the first weekend in June; and
the 2019 International Conference in Canada.
David Klempin announced eight members were signed up for the National Trust
Conference with early bird registration. He would gather the information and get an
invoice to each attendee; they are now signed up for the Frank Lloyd Wright and the
Candlelight Tours. The Grapevine contingency will consist of Mike Lease, Chairman
Curtis and Linda Ratliff, Melva Stanfield, Patricia Stinson, Janet Perkins, HPC Chairman
Sean Shope and staff member David Klempin.
DISTRIBUTION OF LIAISON REPORTS
Grapevine Historical Society (GHS) — Liaison Janet Perkins was on vacation; GHS
member Balla Wright was also away on vacation. Chairman Ratliff attended and
reported saying it was an excellent presentation on the bank robbery of the Old Home
Bank, with an excellent accounting of how the robbers masqueraded as part of the
posse searching for "them".
Convention & Visitors Bureau (CVB) — Paula Newman reported on the CVB June
board meeting. The Convention & Leisure Sales team had 89 sales leads with 120,500
potential room nights with a potential economic impact of $66,000,000. 19 groups were
booked for 13,700 room nights, for an economic impact of $6,200,000.
The Visitors Information Center, depot and museums reported 18,000 guests. 163,000
brochures were distributed locally, statewide and nationally. Destination Services
assisted 12 groups representing 10,000 attendees for an economic impact of
$9,000,000. Shuttle ridership was up in May by 4.1 percent over last year.
The Convention Center, Palace Arts Center and Concourse together, hosted 70 events
and signed 56 new events for an economic impact of $431,000. The Grapevine Vintage

Railroad had 23 excursions for a total of 3,600 riders in May. The marketing team had
six print trade publication insertions; print consumer publications had 19 insertions
representing 2,200,000 circulating impressions; and online advertising had 80,000
impressions.
The Main Street Fest wrap up was given with a thank you to the Bank of the West as
the presenting sponsor. The Oh Look Performing Arts Center received a grant of
$15,000 to fund the 2017 summer performances. Outlaw Cider Company was the site
for the quarterly sales reception.
Radio and television advertising is ongoing for SummerBlast with communications
promoting the event to outer markets. The Fireworks program will continue through the
summer every Friday night. The very popular Grapevine Rails, Rolling through Time
exhibit in the Tower Gallery, worked with merchants to promote the exhibit with a map
of shops participating in this summer's theme; participation has increased for the
summer exhibits from 42 in 2016 to 60 merchants participating in 2017.
New ceiling insulation installed in the Grapevine Historical Society's Ice House Museum
is allowing the air conditioning to maintain proper climate control for the museum.
Historic Preservation Commission (HPC) — Chairman Ratliff reported at the last
meeting, there were many staff approved Certificates of Appropriateness presented to
the commission; the case reviewed was for 330 South Church Street, the foundation
had failed, compromising the structure. The Commission approved the demolition and
the plans for the new build. Chairman Ratliff questioned if anyone had heard of a radio
station to broadcast from Main Street?
Update — David Klempin said, as there were no action items for the Foundation's
August meeting, he recommended canceling the August meeting and reconvening at
the scheduled September meeting; the board agreed. GrapeFest will be September 14
— 17 followed by the Foundation meeting on September 20, 2017.
VL ADJOURNMENT
Sue Powers, seconded by Melva Stanfield, made the motion to adjourn the meeting at
5:50 p.m. The motion prevailed by the following vote:
