SUBJECT: APPROVAL FOR THE AWARD OF RFB 396-2013 FOR AN
ANNUAL CONTRACT WITH OPTIONAL RENEWALS FOR THE
PURCHASE OF LIGHTING AND BALLASTS ON AN AS
NEEDED BASIS
RECOMMENDATION:
City Council to consider approval of the award of RFB 396-2013 for an annual contract
with optional renewals fort purchase of lighting and ballasts to Facility Solutions
Group, Inc., on an as needed basis.
FUNDING SOURCE:
Funds for this purchase are available in account 100-14111-0000 (General
FundA/Varehouse Inventory) in the estimated amount of$17,000-00,
BACKGROUND.
Bids were taken in accordance with City Purchasing Policy. Formal bids and
advertisements are not required for purchases under $50,000. An informal RFB #396-
2013 was issued through the City eBid system, 122 vendors viewed the bid due to the
electronic notifi cations, with 32 other vendors viewing the bid due tot City's
purchasing websit e bid notice. Eight vendors submitted bids. (See attached bid
tabulation).
The annual contract with four optional one year renewals will establish fixed pricing for
the purchase of various types of lighting and ballasts on an as needed basis for use by
the Facility Services Division to service various City facilities.
Based on the evaluation of the bid by Purchasing and Facility Services, it is determined
that the award be made to one vendor, Facility Solutions Group, Inc. Facility Solutions
Group, Inc., bid on 124 of the 128 items listed and was the lowest overall bid for those
items. Facility Solutions Group, Inc., has been a supplier to the City in the past and has
been successful in in so.
