SUBJECT: CONSIDER APPROVAL FOR THE PURCHASE OF A MINI-
EXCAVATOR FOR THE WASTEWATER DIVISION OF PUBLIC
WORKS
RECOMMENDATION:
City Council to consider approval to purchase a mini-excavator from Holt Caterpillar for
the Wastewater Division in the total amount of$40,410.00.
FUNDING SOURCE:
Funds are available in account 325 48910 530 10 2010 Capital Equipment/Machinery
Purchase Fund/Motor Vehicles/Utility Water.
BACKGROUND:
Bids: were taken in accordance with City Purchasing Policy. Formal bids and
advertisements are not required for purchases under $50,000. Three vendors submitted
quotations. A copy of the bid tabulation listing all pricing received is attached for review.
This request is to. purchase a mini-excavator to replace a unit currently in service at the
Wastewater Treatment Plant. The current unit was approved for replacement during the
budget process for this fiscal year. The unit currently in service has reached the
replacement criteria of Life Cycle Cost, Mileage, Time in Service and Special
Circumstances.. The attached Fleet Replacement Criteria Worksheet shows the current
age of the replacement vehicle and the approved replacement criteria.
Bids were solicited from three vendors with three vendors responding. The lowest bid
received was from Holt Caterpillar. All offers received included a trade-in value of$6,000
for the existing excavator. Holt Caterpillar met all of the specification requirements listed
by Fleet Services and has successfully provided equipment to the City in the past.
Staff recommends. approval to purchase the mini-excavator from Holt Caterpillar in the
total amount of$40,410.00.
