CALL TO ORDER Chairman Curtis Ratliff called the meeting to order at 4:55 p.m. and thanked all for attending II. CITIZEN COMMENTS There were no citizen comments registered. Any person who is not scheduled on the agenda may address the Historic Preservation Commission under Citizen Comments by completing a Citizen Appearance Request form. In accordance with the Texas Open Meetings Act, the Advisory Board is restricted in discussing or taking action during Citizen Comments. September 18,2019 18 September 2019 ill. APPROVAL OF MINUTES Balla Wright made the motion to accept the minutes as written from the August 21, 2019 meeting. Melva Standfield seconded the motion, which prevailed in the following vote: Ayes: 7 (Ratliff, Stanfield, Wright, Perkins Franks, Hummer and Jensen) Nays: 0 None Absent: 2 (Fray and Nelson) IV. OLD BUSINESS Membership Report - Janet Perkins Secretary Janet Perkins stated the Foundation had 189 active members in August and donations of $290. The Membership committee will reconvene after the 2020 CHF Calendar is completed. Nash Farm Report - Melva Stanfield Vice Chairman Melva Stanfield reported 222 participants for the First Friday "Making McMe's Pickles" program; three tours scheduled for a total of 87 participants; month of August casual visitors total of 480; and total guests for August were 789 visitors to Nash Farm. The Ice Cream Social had 575 guests consuming 34 gallons of homemade ice cream, 50 liters of root beer and 12 gallons of lemonade. Eight tours were scheduled, but three of the groups cancelled due to the heat, yielding 215 students. 505 casual visitors were hosted at the Farm, and a total of 1,354 visitors for the month of July. Sponsorship Report - Balla Wright Treasurer Wright reported no change in the 2019 Sponsorships. Palace Arts Center Report - P.W. McCallum Executive Director P.W. McCallum announced city Council had approved funds for a complete replacement of the Palace Arts Center (PAC) Heating Air Conditioning Ventilation (HVAC) system. Now looking for time to schedule the complete redo installation. The new HVAC system will get the mechanics up off the roof with very little roof penetration allowing better roof maintenance. Council Liaison Duff O'Dell asked if HVAC system could be zoned for only areas being used; Mr. McCallum said yes and more division in zoning to direct where needed, noting 2020 should bring a nice relief to the PAC. V. NEW BUSINESS Update on Nash Farm Fall Events — Cody Jolliff Farm Manager Cody Jolliff announced the Friday night October 18 Barn Dance and the October 19 Fall Round-UP! have been scheduled with board members Becky Hummer 2 September 18,2019 18 September 2019 and Melva Standfield in the kitchen boxing the chicken dinners; Treasurer Janet Perkins would be out of town but member Courtney Fray would fill in for membership; the regular volunteer scheduler Sherri Bottom would be out on medical leave but new board member Wendy Nelson would fill in with much experience from scheduling the Grapevine festivals volunteers. He asked for any volunteers to make a pie to sign on today, Frances Jensen signed on to make a homemade pie for the Pie Auction. 2019 candlelight Tour of Homes Update - Melva Stanfield Vice chairman Stanfield announced the Candlelight Tour of Homes (CTOH) for 2019 had been put on hold until 2020. The CTOH committee had met and decided to take the board's recommendations to present the tour every other year as a bi-annual event to allow more inventory of homes to collect over the two-year period with 2020 being the Foundation's next home tour. The committee had also asked to schedule a Meet & Greet with homeowners of the Historic Township to make them aware of the Foundation's mission and learn more about the homeowner's questions and needs. Chairman Ratliff agreed we had a better "sense of community" in the past and encouraged to renew it. Discussion followed regarding the past porch parties, P.W. McCallum recalled some Township residents prepared more than others and hosted more often, but it is important to be a Township; he suggested hosting at the Lancaster Theatre where Township homeowners could walk to; perhaps twice a year during Daylight Savings Time from 6 — 8 p.m. He summed up saying the committee had made the right decision to give it some time and build more inventory Grapevine Convention & Visitors Bureau Report— P.W. McCallum P.W. McCallum thanked all who volunteered for GrapeFest, saying it was great exposure for projects related to the Grapevine Heritage Foundation, such as the ItalianCarFest at Nash Farm. The central piece of GrapeFest had been the loth Anniversary of the signing of the Sister City accord with Krems, along with a strong delegation from Parras; Nash Farm hosted both delegations really showing off the Farm. Krems is a world heritage site with a number of treasures, their reaction to the volunteer's preparation and being period appropriate transcended from pre-teens to senior folks. The Burgermeister was most impressed with the Farmhouse collection of furniture, wash basins, noting some items brought from Europe, totally endorsing the work of this board and staff. GrapeFest brought in 261,000 people, with Sunday slowing down with the cowboys football game beginning at noon; he said it was a great festival except the people forgot to bring their money, very much like the 2016 GrapeFest, within a few dollars. He noted the many ways they follow the count and the dollars spent by cameras, beverage consumption and sponsor's tickets. Mr. McCallum noted the tremendous job Farm Manager Cody Jolliff had done; for a number of years the long term goals were to tie together the Farm and the Railroad and Cody has done this, he will now be given more responsibility as the Manager of Heritage Museums and Education Programs. Cody had made the most with the opening 3 September 18,2019 18 September 2019 up of Hudgins Street, from the Farm to the Railroad and museums, moving people and the crowds in Grapevine through all of our assets. Announcements Council Liaison Duff O'Dell told the board Pat Stinson was very ill today, but had planned on being at this meeting with her speech to thank all for the recognition of her 20 years of service, saying she was overwhelmed and she thanks you all. Executive Director P.W. McCallum noted what a great job the Mayor had done recognizing Pat's service to the community. Council Liaison O'Dell said it was all Pat had talked about all month.
