SUBJECT: APPROVAL TO RENEW AN ANNUAL CONTRACT FOR THE
PURCHASE OF TRAFFIC PAVEMENT MARKING MATERIALS
RECOMMENDATION:
City Council to consider approval to renew an annual contract to purchase traffic
pavement marking materials from Centerline Supply, Ltd. for the Public Works
Department, Traffic Operations Division on an as needed basis. Purchases will be
limited to the budgeted amount for this service.
FUNDING SOURCE:
Funds are available in account 174-43301-093-000 (Street Maintenance/Capital
Replacement/Transportation Infrastructure Maintenance) in the budgeted amount of
$25,000.00.
BACKGROUND:
Bids were taken in accordance with City Purchasing Policy. Formal bids and
advertisements are not required for purchases under $50,000. Eight bid packages were
requested by vendors. Three bids were received. (See attached bid tabulation.)
The purpose of this contract is to purchase traffic pavement marking materials on an as-
needed basis by traffic operations staff for approximately $25,000.00. Council awarded
the initial contract period on March 15, 2011 with four, one-year optional renewals. If
approved, this will be for the first renewal contract period.
Staff reviewed all bids received and found that Centerline Supply, Ltd. was the lowest
responsive/responsible bidder meeting specifications. This vendor has provided
materials to the City on past contracts with satisfactory results and has agreed to renew
the contract with no increase in pricing.
Staff recommends approval.
